Your Wedding Budget in Italy: Why We Start with a Conversation

You’ve started looking for a wedding planner for your celebration in Italy. You send a few inquiries through a wedding directory, browse some websites, and share an outline of what you have in mind.

The replies arrive—and so do the invitations to schedule a video call.

But between work, everyday commitments, and perhaps a time difference, you can’t spend every evening meeting wedding planners. First, you’d like to understand whether someone might be right for you and whether the wedding you’re imagining could work within the budget you’ve chosen. That’s understandable.

So why do I suggest an initial conversation?

Because “Tuscany, forty guests” gives me a starting point. Knowing that you’d love to spend three days together and cover everyone’s accommodations tells me much more. Those details help me offer guidance that is relevant to your plans.

The call is also an opportunity for you. You can ask questions, see how I listen, and get a sense of whether you feel comfortable with me. There’s no obligation to move forward. It helps us both understand whether we could work well together to plan your wedding.

First, I Listen. Then We Talk About the Numbers.

I’d love to hear what drew you to Italy and how you picture those days with the people you love. Dinner under the stars, a few days together at the same property, a celebration filled with music: your ideas help me understand what to look for.

We can also talk about the things you haven’t decided yet: whether to cover accommodations for everyone or just close family, whether to plan a full weekend or focus on the wedding day. You don’t need to have every detail figured out.

Once I’ve heard how you imagine your wedding, we talk about the amount you’ve chosen to invest and what you’d like it to include. From there, we begin exploring how to bring your ideas to life.

I don’t expect you to know what a property that sleeps forty people costs, or what to expect from a catering proposal in Tuscany. Helping you navigate those details is part of my job.

We do need to clarify what your budget covers. Does it include accommodations, additional events, transportation, and wedding planning? If you’ve set aside separate amounts for certain expenses, we take those into account too. That way, we’re looking at the whole celebration.

Finding a Clear Direction

Understanding your needs and budget allows me to assess which possibilities are worth exploring and which alternatives might suit you.

If the budget fits the plans you’ve described, we move forward with a focused search. If something needs adjusting, I explain why, and we explore the options together.

A different property might allow everyone to stay close by. A less familiar area might offer the scenery and atmosphere you love. Or we might focus your budget on the things that matter most to you, keeping other elements simpler.

Before suggesting a change, though, I want to understand how important that detail is to you. If spending three nights with all your guests is at the heart of your plans, we’ll make it a priority in the search.

Availability, booking conditions, and vendor proposals will help us confirm what is possible and what it will cost. But we’ll already have a direction shaped around you.

Knowing What to Let Go of Helps You Choose

It’s easy to fall in love with a villa in a photograph. I understand: sometimes a single image is what first inspires you to get married in Italy.

Before booking it, we need to understand how it fits into your overall plans. Beyond the rental fee, there may be requirements and services that affect the total cost.

If choosing that property would leave too little for the rest of your wedding, I’d rather discuss it with you before you arrange a visit or pay a deposit. I’ll explain what the choice involves and what we could explore instead.

Every venue I suggest should have a reason behind it, connected to your guests, the atmosphere you want, your practical needs, and your budget. This makes the search clearer and allows you to spend time on options that deserve your attention.

If You Haven’t Decided on a Budget Yet

We can talk about that too. You may have a rough figure in mind, or you may need a better understanding of the expenses involved before choosing an amount.

We start with the information you’re missing and work through it together, so you can make that decision feeling better informed and more at ease.

If Your Ideas Change, We Talk About Them Together

During planning, you might discover a service you’re excited about, add another gathering with your guests, or rethink a priority.

My role is to explain how those choices affect the total before you make a commitment. You can decide to increase your initial budget, allocate it differently, or keep the plans you’ve already agreed on.

The decision remains yours. I want you to feel just as comfortable saying, “This matters a lot to us,” as saying, “We’d prefer to stay within the budget we’ve chosen.”

Let’s Start with a Conversation

General cost guides can help you find your bearings. To understand how those figures relate to your wedding, we bring together your wishes, your guests’ needs, and the budget you’ve chosen.

That gives us a starting point for making practical decisions, one step at a time.

If you’re thinking about getting married in Italy, I’d love to meet you both on an initial video call. Bring your ideas—even the ones you haven’t quite figured out yet. We’ll start there.
