Should You Book Your Wedding Venue or Hire Your Wedding Planner First?

If you’re planning a destination wedding in Italy, you’ve probably asked yourself this question at least once.

Should you choose your wedding venue first, or hire your wedding planner first?

I’ve seen this discussion countless times in Facebook groups, online forums, and destination wedding communities.

Some people are convinced that the venue should always come first.

Others insist that hiring a wedding planner should be the very first step.

My answer is a little different.

After many years planning destination weddings in Italy, I’ve learned that there isn’t one answer that works for every couple.

There is only the answer that’s right for you.

Why There Isn’t One Right Answer

Two couples may have the same budget, the same guest count, and the same dream of getting married in Italy, yet be in completely different situations.

Some couples already know the region they love, the season they prefer, and even have a shortlist of venues they’d like to visit.

Others simply know they want to get married in Italy but haven’t yet decided where, when, or what kind of celebration truly reflects their vision.

That’s what changes the starting point.

The best decision depends on where you are in your planning journey.

When It Makes Sense to Start with the Venue

If you’ve already decided on the region, the time of year, and the overall style of wedding you want, beginning with your venue is often the most natural choice.

Once you’ve found the right venue, many of the following decisions become much easier.

If you feel comfortable reviewing and signing a contract governed by Italian law and managing that part of the process on your own, starting with the venue can be a perfectly good decision.

When Hiring a Wedding Planner Makes Sense

There are situations where hiring a wedding planner early can make the entire planning process much easier.

If you’re still deciding which region is right for you, comparing very different types of venues, or planning everything from abroad, having an experienced professional by your side can help you make each decision with greater confidence.

A good wedding planner doesn’t choose your venue for you.

They help you narrow down the options, compare them objectively, and understand which one truly fits your vision, your priorities, and your budget.

In other words, a planner’s role isn’t to tell you where to get married.

It’s to help you understand why one venue may be a better fit than another.

A venue can be absolutely beautiful. That doesn’t automatically make it the right venue for your wedding.

More than once, I’ve seen couples fall in love with a venue because the photos were stunning, because it was one of the most talked-about places at the time, or simply because a celebrity had gotten married there.

Then, once we looked at the entire project together, it became clear that it wasn’t actually the best choice.

Maybe there weren’t enough guest rooms for everyone.

Maybe the logistics were far more complicated than expected.

Or perhaps the atmosphere simply didn’t match the experience the couple wanted to create for their guests.

The venue was beautiful. It just wasn’t the right venue for that particular wedding.

A Concern Many Couples Share

One concern comes up surprisingly often: “What if a planner only recommends venues they already work with?”

It’s a completely understandable concern—and one worth talking about.

In my experience, however, the conversation should start somewhere else.

A wedding planner works for the couple, not for a venue.

Their role is to understand your vision, your priorities, and your budget, then recommend the options that genuinely fit your project—even if that means suggesting venues they’ve never worked at before.

Trust, of course, is essential.

That’s why it’s important to choose someone you feel comfortable talking to and asking questions.

If, during your first consultation, you feel like you’re only being presented with one possible solution, ask more questions.

A good professional should be able to explain why a venue has been recommended—but also discuss alternative options that may be equally suitable.

Questions to Ask Yourself Before Deciding

Before deciding whether to book your venue or hire your wedding planner first, ask yourself these questions:

Do we already know where we want to get married?

Are we confident comparing venues on our own?

Are we comfortable reviewing contracts governed by Italian law?

Are we planning everything from abroad?

Do we already have a realistic wedding budget?

If you answered “no” to several of these questions, involving a wedding planner earlier may make the planning process much easier.

If you’ve already booked your venue, don’t worry.

Many couples do, and that doesn’t mean you’ve made the wrong decision.

A wedding planner can still help you build the rest of your wedding with confidence.

Every Wedding Has Its Own Starting Point

If you were hoping this article would give you one universal rule, you may be a little disappointed.

The truth is, I don’t believe in one-size-fits-all answers.

I believe every couple deserves to make informed decisions.

Every couple has a different story, different priorities, and a different vision of what getting married in Italy means to them.

That’s why the decision to choose your venue first or hire your wedding planner first shouldn’t depend on what someone wrote in an online forum or what a stranger recommended.

It should depend on you.

And if this article has helped you understand which starting point feels right for your own journey, then it has achieved exactly what I hoped it would.
